How to setup a DHL Event Report (Proactive Reporting)

This guide will walk you through the process of creating and configuring a new Event Report in the DHL Business Customer Portal (Section Proactive Reporting). Event reports provide a detailed list of all status events for a shipment, from the initial EDI data record until delivery.


If you can not find the Proactive Reporting in the Invoice and Report section, please reach out to your DHL contact and request the activation. In additon to that DHL needs to create a new SFTP user for you, where the report can be placed in.


Step 1: Navigate to Reports

  1. Log in to the DHL Business Customer Portal.

  2. In the main navigation menu at the top, select Invoices & reports.

  3. A sub-menu will appear. Hover over Reports parcel & goods, and then select New report.



Step 2: Select Report Type and Authorization Level

  1. On the Manage reports page, you'll see a list of available report types.

  2. Locate Event report and click the add icon on the far right to begin creating a new report.

  3. In the next section, provide a name for your report in the REPORT NAME field. For example, "SevenSendersClaiming."

  4. Next, choose your desired authorization level. This setting determines how much shipment detail is visible in your reports. Select All shipment details are visible immediately to ensure full visibility without needing to enter a zip code.

  5. Under Select billing numbers, choose the billing numbers you want to include in the report by moving them from the "available" list to the "selected" list.


Step 3: Configure Report Details

  1. In the Standard events section, select the specific event types you want to include. To add an event, select it from the "available" list on the left and move it to the "selected" list on the right. For instance, you may want to select VA - Electronic shipment notification (EDI).

  2. Next, under Reporting day, select the days of the week for which you want to receive reports. Move all seven days from the "available" list to the "selected" list to receive a daily report.

  3. In the Download settings section, you can specify the report generation schedule.

    • Start of report generation: Set the time you want the report to start being generated each day (e.g., 06:00).

    • Interval of report generation: Set how often the report should be generated (e.g., 3h for every 3 hours).

  4. Under Other settings, configure the file format:

    • Column headers: Set to Yes to include headers in your report.

    • Field separator: Select the character used to separate data fields, such as a semicolon (;).

    • Enclose values in quotation marks: Set to Yes to ensure data fields are enclosed in quotation marks.

    • Standard format: Set to Yes to use the standard report format.

  5. Finally, set the Report status to Activated to enable the report.


After completing these steps, you need to select the SFTP User the report should be shared with. If you do not see the new SFTP use, pelase align with your DHL contact.
