Photo Collection App Disclosure for Seven Senders / claim.me

Overview

Thank you for choosing the photo capture and upload solution provided by Seven Senders / claim.me. This disclosure is intended for Seven Senders business customers who integrate our photo interface into their services and share access with their own customers (hereinafter “consumers”).

It outlines the functionality of the photo solution, the handling of image-related data, and your responsibilities under the GDPR and other applicable laws.


Functionality of the Photo Solution

Within the Seven Senders portal, we provide you with a dedicated link to our web-based photo interface. You may share this link with your consumers via your own communication channels.

Consumers who access the link are guided through a structured interface where they are requested to capture or upload photos relevant to shipment-related claims.

Typically, this includes:

  • The shipping label, to verify the specific package and shipping order

  • The external packaging, to document the condition of the parcel upon arrival

  • The damage or content, to provide evidence of damage or missing items

Real-Time Quality Feedback

During the upload process, images are automatically analyzed to detect issues such as blurriness or illegible labels. Consumers receive immediate feedback, allowing them to correct and resubmit images where necessary. 

These quality checks do not constitute automated decision-making within the meaning of Article 22 of the GDPR, as they do not produce legal effects or similarly significantly affect consumers. Submitted images are used solely for the purpose of claim assessment and processing and are not used to train artificial intelligence systems.

Once photos are submitted, they are made available to you. You will receive an email notification from us containing the submitted photos or, where applicable, the photos together with the associated claim.


Legal Responsibilities under Data Protection Law

As the data controller, you are responsible for ensuring that the use of the photo solution and the processing of personal data complies with applicable data protection laws, including the GDPR.

The processing is carried out on the basis of a data processing agreement (DPA) concluded between you and Seven Senders. All data processing takes place within Seven Senders’ infrastructure. We do not utilize third-party cloud processing for the analysis of these images. 

In particular, you are responsible for:

  • establishing a valid legal basis for processing (e.g., Art. 6(1)(b) GDPR for contract performance in claims handling)

  • providing transparent information to your consumers about the collection and use of photos

  • informing consumers about any additional purposes (e.g., fraud prevention, documentation) where relying on legitimate interests under Art. 6(1)(f) GDPR

  • handling data subject rights requests

You should ensure that consumers understand why photo documentation is required. For example, you may inform them:
 “To process your request regarding your shipment, we ask you to upload photos of the package and any damage. This helps us verify the issue and handle your claim efficiently. Your data is processed for the performance of the contract (Art. 6(1)(b) GDPR) and, where applicable, for our legitimate interests in preventing misuse and documenting claims (Art. 6(1)(f) GDPR). Without this information, your claim may not be processed.”

Retention of Data

Images uploaded via the photo interface are stored within the dedicated photo collection application for a limited period of up to 30 days.

Where images are associated with a claim, they may be retained as part of the claim documentation for as long as necessary to support the processing and documentation of customer requests and in accordance with the retention periods applicable to that claim.

You remain responsible for defining and communicating your own retention practices towards your consumers.


System Requirements

To use our photo collection application, your consumers must have:

  • A stable internet connection

  • A smartphone with a built-in camera or a desktop computer with access to stored photo files (JPEG, PNG, etc.).
